What lakesidecottagesmaine.com collects about you, why, who else handles it, how long we keep it, and how to ask us to delete it.
Who we are
Eagles Landing Lakeside Cottages is run by Laura and Matt Rode. The business is Lakeside Cottages Maine LLC, at 105 Furlong Road, Eagle Lake, ME 04739. You can reach us at lakesidecottagesmaine@gmail.com or 207-267-1647.
What we collect and why
When you send us a question or a request to book
The form asks for your name and an email address or phone number. You can also tell us your dates, how many guests, which cabins, if you're bringing a dog, what the trip is for, and a message. We also note which page you sent it from. We keep what you send and email a copy to Laura and Matt, so we can answer you.
To stop spam, we count how many times a visitor sends a form in an hour. We don't store your IP address for this. We store a one-way code made from it, which can't be turned back into the address, and we delete each code after a day.
When you book
To book, on the website or through a payment link we send you after a call, we use your name, email address and phone number, with your cabins, dates, number of guests and number of dogs. We use them to reserve your cabins, take your payment, and send your confirmation and your balance invoice.
You type your card details into Square's card fields, which Square shows inside our page from its own servers. Square gives us a one-time code to charge the card. We never see or store your card number. Apple Pay and Google Pay also go through Square.
Text messages
When you book, you can tick a box to get texts about your booking: your confirmation, reminders when a payment is due, and receipts. It's optional, and you can book without it. We keep a record that you agreed, with the wording you saw and the time. Reply STOP to any text and we stop. Our terms explain the texts in full.
We don't share your phone number or your agreement to get texts with anyone for their marketing. The only companies that see them are the ones below that help us send your texts and run your booking.
Visits to the site
We use Google Analytics on the live site to see which pages people visit and how they find us. It records things like the pages you view, your device and browser, and roughly where you are. We don't send Google your name, email or phone number.
When something breaks on our server, we send a report to Sentry so we can fix it. Sentry doesn't get what you type into forms, your cookies, or who you are. The reports carry booking and request numbers and the error.
Who else handles your information
These companies help us run the site and the cottages. Each one handles your information only for the job listed here, under its own privacy policy.
- Square takes card payments, keeps a customer record with your name, email and phone, and emails your balance invoice.
- Hospitable holds our reservations calendar. Your booking becomes a reservation there with your name, email, phone, number of guests and the amounts. Airbnb, Vrbo and Booking.com share their bookings with Hospitable too.
- Twilio sends the texts you agree to.
- Supabase stores our database: your requests, your bookings, and a daily copy of our Hospitable data.
- Resend sends our emails, such as your booking confirmation.
- Google runs Google Analytics and the Gmail inbox where your messages to us arrive.
- Sentry gets the error reports described above.
- Vercel hosts the website.
The newsletter sign-up takes you to a page Square runs, and the Facebook and Instagram links go to those sites. Their own privacy policies apply there. We don't sell your information.
How long we keep it
- Bookings, with your agreement to get texts: seven years after your stay, for our tax and accounting records. Then we delete them.
- Questions and requests that don't become a booking: two years after we last hear from you.
- Square's payment notices to our site: 90 days.
- The daily copy of our Hospitable data: 90 days.
- The spam-check codes: one day.
- Square, Hospitable, Twilio, Google and our email inbox keep their own copies under their own policies. Square keeps payment records for taxes and accounting.
Cookies
On the live site, Google Analytics sets cookies to tell one visit from another. The payment page loads Square's card fields, which may set their own cookies to help stop fraud. Laura and Matt sign in to a private admin area, which uses a cookie only for people who sign in. You can block or clear cookies in your browser settings, and the site still works without them.
Children
This site is for adults planning a stay. We don't knowingly collect information from children under 13. If you think a child sent us something, email us and we'll delete it.
Seeing, correcting or deleting your information
Email lakesidecottagesmaine@gmail.com and tell us what you'd like. We can send you what we hold about you, correct it, or delete it. We can't delete records Square has to keep for payments and taxes, or bookings that Airbnb, Vrbo or Booking.com hold. For those, contact the company directly. Changes to this page
If we change how we handle your information, we'll update this page and the date at the top.
